What SARS requires on a tax invoice, and when a job card is not one

A VAT vendor must issue a tax invoice within 21 days of a supply. Above R5,000 it is a full tax invoice carrying the words Tax Invoice, both parties' details and VAT numbers, a serial number, date, description and the VAT amount. From R50 to R5,000 an abridged invoice is enough. Omni Field applies these rules to every invoice.

Full and abridged tax invoices

The Value-Added Tax Act sets what a document must contain before it is a tax invoice on which the recipient may claim input tax. For a supply above R5,000 including VAT, the full tax invoice must carry the words Tax Invoice, VAT Invoice or Invoice; the supplier's name, address and VAT registration number; the recipient's name, address and, where registered, VAT number; a serial number and the date of issue; a description of the goods or services, the quantity or volume; and either the value, the VAT and the total, or the total with a statement that it includes VAT at the standard rate.

For a supply between R50 and R5,000 an abridged tax invoice is enough: the same, without the recipient's details and the quantity. Below R50 no tax invoice is required, though a till slip or receipt is still good practice.

Timing and records

A vendor must issue the tax invoice within 21 days of the supply, and must keep copies of invoices issued and received for five years. Invoices may be issued and kept electronically. A credit note, called a credit note or debit note in the Act, is needed to correct an invoice already issued, and it must reference the original.

The recipient can only claim input tax on a valid tax invoice, so an invoice missing the VAT number or the words Tax Invoice is a document the client's accountant will send back, which is the most common reason a paid job is still unpaid at month end.

Job cards, quotes and invoices

A job card records work done and parts used; a quote states a price for work not yet done; neither is a tax invoice, and printing Tax Invoice on either is a mistake. The invoice is the document issued when the supply is made. The safe practice is for the software to decide the wording: an invoice from a VAT vendor is titled Tax Invoice and carries the vendor's number; a job card says plainly that it is not one.
