Each scheme is a customer with its own history

A body corporate is set up as a customer, with the managing agent or trustees as its contacts, its site address and its own job history, quotes, invoices and statements. Every job at the scheme, from a burst pipe in unit 12 to the monthly common-property round, sits under that record, so the answer to "what have you done here this year" is one screen.

Requests from the managing agent

The client portal, included from PaYu upward, gives the managing agent a login to raise service requests, see quotes, approve them, track jobs and download invoices and statements. Requests arrive in your inbox as jobs to schedule, and the agent can follow the status without phoning. Trustees who only need to look can be given viewer access at no charge.

Recurring rounds and proof of work

Recurring job templates generate the monthly or quarterly visits for common property, gate motors, pumps or lighting on their schedule, and each visit is completed as a job card with before and after photos, the tasks done and a signature. The job report goes to the agent by email or WhatsApp, which is the proof that ends most disputes at the AGM.

Invoicing, statements and what is not modelled

Invoices carry VAT and the scheme's details, can reference a purchase order, and go out with a Paystack payment link; a statement of account for any period goes to the agent from the customer record. Omni Field does not model levy accounting, trustee resolutions or the managing agent's own software, and it does not parse insurer dispatch emails; it manages the contractor's side of the work.
