Can a sole trader benefit from job card software, or is it overkill?

It depends on what is going wrong, and for a one-van business it is usually the same three things: a quote that never got sent, an invoice that went out late or not at all, and a photo of the finished job that lives in a WhatsApp thread nobody can find when the customer disputes it. Job card software fixes those by putting the quote, the job, the photos, the signature and the invoice on one record and letting you send each from the phone. It is not overkill if that record is worth having; it is overkill if you do a handful of jobs a month and paper is genuinely fine. What does the Free plan include and what are its limits?

The Free plan includes job cards with photos, tasks, parts, time and signatures; scheduling; quotes that convert to jobs; invoices with VAT shown and a Paystack payment link; a customer list with history per customer; WhatsApp and email notifications sent from the job; a digital business card with a lead form and QR code; basic reporting; and the field app on Android and iPhone. Its limits are two users and 300 jobs a month, and a few capabilities are held for the paid plans: the client portal, two-way WhatsApp chat, inventory, the website builder and attendance tracking start on PaYu, and live GPS tracking, recurring jobs and the accounting integrations on Growth or as add-ons. There is no time limit on the Free plan and no credit card is asked for, so a business can stay on it for as long as it fits and move up from the settings when it does not.

How do I get paid faster as a one-person business?

Invoice from the job card while you are still on site and send it with a payment link. The invoice is built from the parts and labour you recorded, goes to the customer by WhatsApp or email in seconds, and the Paystack link lets them pay by card or instant EFT on their own phone before you have left the driveway. The payment is recorded against the invoice automatically, the money lands in your bank account in two to three business days with a 1% transaction charge, and there is no separate merchant account or card machine to rent. For customers who prefer EFT, the invoice carries your bank details. If an invoice goes unpaid, a reminder goes out by WhatsApp or email on the schedule you set, so chasing is not a phone call you have to remember to make. Deposits on bigger jobs are handled on the invoice controls.

Do I need to pay for an admin seat if it is only me?

Accepted Answer

No. On the Free plan there are no seats to buy at all: you are the owner and the plan covers up to two users. On PaYu, the R149 base price covers you as the owner, and seats are only added for additional people: R149 a month for a technician or manager seat and R99 a month for an admin seat, which is an office user who works in the dashboard rather than the field app. Viewer users, someone who only needs to look, such as an accountant, are free on every plan. A sole trader who moves to PaYu for a specific add-on, say recurring jobs for a maintenance contract, pays the base price plus the add-on and nothing per seat until a second person joins. All prices are published in Rand with VAT included on the pricing page and there is no fixed-term contract.

How do customers find me?

Accepted Answer

Two things in the product help, and neither costs extra on the plans that include them. The digital business card, included on the Free plan, gives you a public page with your services, contact details, a lead form and a QR code you can print on the van and on invoices; a customer who scans it lands on your page and can request a quote, and the lead arrives in your inbox. The website builder, included from the PaYu plan upward, publishes a simple site with your services, photos of your work and a request form that creates a job in your inbox. Beyond the product, the same records help your reputation: a job report with before and after photos sent to every customer by WhatsApp is the thing that gets forwarded to a neighbour. Omni Field does not run advertising or list you in a directory; those remain your own channels.
